  • 1.4. The same applicable rules and standards shall be enforced consistently across collaborative clubs and participating societies.

  • 2.2. The Executive Body shall be responsible for the governance and administration of Techverse within the authority provided by the Constitution.

  • 2.4. No individual representative may make commitments on behalf of UMT Techverse beyond their assigned authority.
  • 2.5. Any amendment to the Techverse Constitution shall follow the authority and procedure established in the Constitution.

  • 3.7. Clubs shall maintain their own organizational identity and autonomy while operating within the agreed Techverse collaboration framework.

4. Equality & Non-Discrimination Between Clubs

  • 4.1. No collaborative club shall receive special protocol solely because of its status, relationships, history, leadership, popularity, or personal connections.
  • 4.2. Rules applicable to one collaborative club shall, where circumstances are equivalent, apply equally to other collaborative clubs.
  • 4.3. No club shall be intentionally disadvantaged, excluded, or given preferential access without a legitimate and documented reason.
  • 4.4. Personal friendships or disagreements shall not influence official Techverse decisions.
  • 4.5. Decisions involving clubs shall be based on objective factors including operational requirements, module responsibilities, event requirements, performance, deadlines, compliance, and institutional requirements.

This directly reflects the Constitution's requirement for fair decision-making, no favoritism, transparent communication, and respect for society autonomy.

5. Modules & Competitions

  • 5.1. Core modules may be assigned to collaborative clubs through mutual agreement.
  • 5.2. Existing constitutional examples include modules such as Web Development, Speed Programming, Scavenger Hunt, UI/UX, Obstacle Avoidance, Line Following Robot, Speed Wiring, Cyber Hackathon, Gaming competitions, and AI Hackathon. The Constitution permits clubs to change or add modules through mutual agreement.

  • 6.4. Clubs are expected to market their respective modules and encourage eligible participants to register.
  • 6.5. No partner may use the Techverse name, logo, identity, or official material in a manner that falsely implies endorsement, authority, sponsorship, or partnership beyond the approved scope.

The Constitution specifically requires proper branding, club logo placement, collaboration tags, and club marketing support.

7. Communication

  • 7.1. A dedicated UMT Techverse Collaborative Clubs communication group shall be maintained.
  • 7.2. All collaborative clubs should remain informed about relevant event updates, responsibilities, timelines, and operational decisions.
  • 7.3. Each club shall nominate an appropriate representative/focal person where required.
  • 7.4. Official decisions should be communicated through recognized Techverse channels rather than informal personal communication.
  • 7.5. Failure to monitor official communication does not automatically excuse a club from an announced responsibility or deadline.

The Constitution establishes a dedicated collaborative-club communication group and requires transparent communication of responsibilities and event updates.

8. Responsibilities & Deadlines

  • 8.1. Every club, module lead, representative, and partner shall complete its assigned responsibilities within agreed deadlines.
  • 8.2. If a serious operational issue prevents completion, the concerned representative must communicate it as early as reasonably possible.
  • 8.3. Failure to communicate a serious issue in advance may be considered a failure to meet the agreed responsibility.

9. Professional Conduct

All Techverse representatives, clubs, partners, volunteers, and participants shall:

  • Treat others respectfully.
  • Avoid harassment, bullying, threats, or abusive conduct.
  • Avoid discriminatory or degrading behavior.
  • Avoid misuse of authority.
  • Avoid public disputes that damage Techverse or partner institutions.
  • Maintain professional communication.

The Constitution prohibits misuse of authority and unfair dismissal of a society's contributions.

10. Autonomy of Collaborative Clubs

  • 10.1. Collaborative clubs retain reasonable autonomy in managing their approved modules.
  • 10.2. Techverse shall respect the operational identity and expertise of each club.
  • 10.3. Autonomy does not mean exemption from Techverse-wide rules.
  • 10.4. A club may make module-level decisions within its authority, provided those decisions do not conflict with the Techverse Constitution, approved event policies, UMT/OPA requirements, Techverse-wide rules, participant safety or fairness, or official event timelines.

The Constitution expressly recognizes society autonomy while providing that necessary guidance may be offered.

12. MOU Standardization

  • 12.1. UMT Techverse shall maintain a standard collaboration MOU framework.
  • 12.2. The standard MOU shall be designed around the established Techverse governance framework and applicable Techverse chapters/versions.
  • 12.3. The same fundamental standards shall apply to equivalent collaborations.
  • 12.4. Individual MOUs may contain different operational details because different modules, universities, or responsibilities may require different arrangements.
  • 12.5. Such operational differences shall not be interpreted as granting special status or preferential treatment.
  • 12.6. Any significant deviation from the standard framework should have a clear operational or institutional justification and appropriate approval.

13. Recognition & Awards

  • 13.1. Recognition shall be based on approved criteria rather than personal relationships.
  • 13.2. Collaborative clubs may receive recognition according to the Techverse framework.
  • 13.3. The Constitution provides for a collaboration shield for each collaborative club and the President of the club during whose tenure the collaboration was renewed and placed.
  • 13.4. Participant and team awards shall be determined according to approved criteria.
  • 13.5. Recognition must not be used as a mechanism for favoritism or personal preference.

14. Intellectual Property & Content

  • 14.1. Each party retains ownership of intellectual property it independently creates unless otherwise agreed in writing.
  • 14.2. Competition rules, technical content, branding assets, photographs, videos, designs, software, presentations, and other materials may be subject to separate ownership or usage arrangements.
  • 14.3. No participant, club, or partner may claim ownership of another party's intellectual property without authorization.
  • 14.4. Any third-party copyrighted material used in Techverse activities must be used with appropriate authorization where required.

  • 16.2. Serious concerns should be communicated formally and with sufficient information to allow review.
  • 16.3. Examples of serious concerns include governance violations, unfair treatment, major operational failure, misuse of authority, serious misconduct, branding misuse, safety concerns, breach of an approved agreement, and material conflict with UMT/OPA requirements.
  • 16.4. Minor disagreements or personal preferences should not automatically be treated as grounds for changing the standardized framework.
  • 16.5. Where a genuine issue is identified, Techverse may review and, where appropriate, modify the relevant operational arrangement.

17. Breach of Terms

A breach may include:

  • Deliberate violation of Techverse rules.
  • Misuse of Techverse branding.
  • Misrepresentation of authority.
  • Repeated failure to perform agreed responsibilities.
  • Serious misconduct.
  • Deliberate favoritism or manipulation of official processes.
  • Unauthorized disclosure of confidential information.
  • Actions that materially damage the reputation or operation of Techverse.

Depending on the nature and severity of the matter, Techverse may issue a warning, require corrective action, review responsibilities, suspend an activity, or refer the matter to the appropriate UMT/OPA authority.

18. Amendments

  • 18.1. These Terms & Conditions may be reviewed and updated when operational requirements change.
  • 18.2. Any amendment must remain consistent with the UMT Techverse Constitution and applicable UMT/OPA requirements.
  • 18.3. Where an amendment materially affects collaborative clubs or existing agreements, the relevant parties should be formally informed.

19. Final Clause

Participation in or collaboration with UMT Techverse constitutes acceptance of the applicable Techverse rules, policies, approved agreements, and professional standards.

One Techverse. One standard. Equal rules for every club and partner.

No society is above the framework, and no society should be unfairly below it. Where a genuine and serious issue exists, it should be raised, reviewed, and resolved through the proper process. Otherwise, the standardized Techverse framework shall apply consistently to all equivalent collaborations. This approach is consistent with the Constitution's foundational emphasis on continuity, transparency, professionalism, fairness, collaboration, and no special treatment.
